Summary:
The Project Manager in Custom Residential Construction oversees projects from planning to completion, ensuring alignment with SHC’s values and standards. Key duties include managing schedules, quality control, safety protocols, and clear communication with clients, subcontractors, and design teams. The role requires expertise in construction management, contract administration, and trade practices, along with leadership, problem-solving skills, and construction software proficiency. The Project Manager ensures subcontractor accountability, budget adherence, and timely project completion while delivering an exceptional client experience.
Job Duties:

- Construction Management: Oversee and coordinate all construction activities, ensuring projects are executed safely, efficiently, and in alignment with project specifications. Ensure proper communication and collaboration between site teams, subcontractors, and clients to maintain project schedules, budgets, and quality standards. Monitor progress and adjust to keep the project on track.
- Project Planning, Coordination, and Leadership: Develop detailed project schedules covering scope, timelines, budgets, and resources. Manage short-interval schedules, overall project milestones, and timelines for procurement, fabrication, installation, and custom finishes. Align plans with client and company goals by confirming timelines, costs, and resources. Lead teams, negotiate with contractors and suppliers, and oversee multiple projects to ensure timely, on-budget completion. Obtain design samples for review and integration into scope. Regularly report budget and schedule progress to clients and stakeholders while coordinating market and customer research to support project goals.
- Plan Reading/Shop Drawings/Specs: Skilled in interpreting architectural and engineering drawings, geotechnical reports, shop drawings, and specifications. Thoroughly review plans and project schedules to grasp project details. Evaluate scopes of work for each trade, incorporate into bid instructions and subcontracts to provide clear and effective direction.
- Building Codes, Regulations, Permitting/Inspections, and Approvals: Knowledge of local codes, Design Review Board and HOA requirements, licensing requirements, zoning laws, regulations, and obtaining necessary permits and approvals. Plus, understand the permitting process, and schedule necessary inspections.
- Quality Control and Assurance: Implement quality control measures, conduct inspections, and address discrepancies. Oversee material delivery completeness and implement job closeout.
- Contract Management: Review, negotiate, and manage contracts with subcontractors, suppliers, and vendors to ensure all contractual obligations are met. Oversee cost and material management, initial subcontract bid comparisons, subcontract management, and maintaining tight control over budgets and schedules. Work closely with the superintendent to address any non-performing subcontractors, reporting and documenting any potential charges. Ensure that any additional charges are fair, reasonable, and fully documented. Work with Project Coordinator to manage change orders, work authorizations, and back charges with precision and diligence to keep the project on track and within budget.
- Cost/Material Management: Establish and manage project budgets by accurately estimating costs, tracking expenses, and efficiently allocating resources. Oversee cost and material management, including developing material take-offs, ordering materials, and staying updated on material and labor prices. Participate in preconstruction reviews of plans, schedules, bid instructions/analysis, and budgets to ensure alignment. Support the Estimating Department by providing accurate cost data and insights to construction means and methods. Implement cost-saving measures that maintain quality and safety, and ensure all materials are properly tested and documented.
- Design Team Management: Responsible for tracking the design team’s schedule, ensuring timely identification and communication to client to aid in resolution of any missing scopes or gaps in project information to maintain project flow and alignment with overall objectives.
- Communication and Documentation: Maintain clear and consistent communication with clients, subcontractors, team members, owners, architects, and designers throughout the project. Provide timely updates, manage expectations, and ensure as-built drawings are kept current. Document critical decisions, maintain records of specifications, samples, and approvals, and deliver regular progress updates on costs and timelines. Additionally, offer technical assistance, oversee construction schedules and activities, establish and support Shaeffer Hyde Construction subcontractor meetings, and carefully manage subcontractor and supplier relationships. It is expected that the project data and communication is maintained in SHC Project Management software’s.
- Problem-Solving and Resolution: Proactively monitor construction sites to identify potential issues that could impact the project timeline, budget, or quality. Conduct thorough investigations to determine root causes, ensuring accurate diagnosis before implementing solutions. Develop and execute effective strategies to resolve problems, minimizing disruptions to the project workflow. Serve as a key resource for project information, demonstrating knowledge of all areas of construction and swiftly addressing any issues or delays that arise during the project.
- Construction Technology: Use construction management software and tools. Attend and actively participate in classes and training programs.
- Trade Knowledge/Building Systems: Understand various techniques, tools, materials, structural and code requirements for all trades (e.g., concrete, masonry, metals, carpentry, windows/doors, finishes, HVAC, plumbing, electrical, structural systems, and high-country building envelopes).
- Highly Custom Detail Finishes: Ensure craftsmanship and precision on finishes, including custom millwork and cabinetry, high-end flooring, custom painting and specialty wall finishes, tile and stone work, lighting design and installation, custom metalwork, glass and mirror work, integration of technology for home automation, mock-ups, and samples.
- Sustainability Practices: Knowledge of eco-friendly materials and finishes, minimize waste, recycle, and re-use whenever possible. Understand client’s commitment to sustainability and implement best practices.
- Closeout, Final Walkthrough, and Post-Completion Follow-Up: Lead the closeout process by conducting comprehensive reviews of interior and exterior finishes, as well as building systems, during the final walkthrough. Work closely with the Superintendent on the general layout, including the site plan, caselators, and interior layout. Ensure that all project elements meet the highest standards of quality and address any punch list, operations and maintenance records, items promptly to guarantee client satisfaction. Manage the owner warranty, subcontract affidavit, and follow-up processes after project completion maintaining open communication with the client to resolve any concerns and ensure their ongoing satisfaction. This proactive approach fosters strong, long-term client relationships and reinforces the project’s success.
- Method Improvement/Innovation: Investigate and recommend changes in methods, materials, schedules, and procedures. Consider alternative methods of construction for VE and quality. Stay up to date with new trends, materials, and standards of construction.
- Meetings and Liaison: Schedule and attend OAC’s, establish and lead weekly subcontractor meetings. Participate and attend company-wide meetings, as necessary. Maintain liaison with building departments, inspectors, fire departments, utility companies, architects, engineers, designers, and clients.
- Multiple Projects and Work Environment: Efficiently oversee and manage multiple projects concurrently, while ensuring accountability from superintendents to meet project goals and deadlines. Operate across both office and construction site environments, maintaining consistent communication and coordination to ensure smooth project execution and alignment with overall objectives, regardless of the setting.
- Resource Planning and Compliance: Forecast and allocate the necessary resources for project completion, including labor, materials, and equipment/tools, to ensure project efficiency and success. Continuously monitor resource utilization and adjust plans as needed to address any emerging needs or challenges. Ensure that all work is performed in strict adherence to relevant building codes and safety regulations, maintaining high standards of quality and compliance throughout the project.
- Billing Approval and Financial Oversight: Oversee and approve all aspects of project billing, ensuring that every cost is accurately documented, tracked, and accounted for in alignment with the project’s budget and scope. Meticulously review invoices and expenditures to verify consistency with project goals and financial constraints. Manage and evaluate subcontractor monthly payment applications to guarantee accuracy and compliance with contractual agreements. Additionally, oversee and approve all change orders, work authorizations, and back charges, ensuring proper documentation and effective cost control. Maintain a timely and precise billing process to uphold financial transparency and integrity throughout the entire project lifecycle.

Job Qualifications:
- Experience: Minimum of 3 years as a project manager in general contracting, with a focus on custom home-building. Fieldwork experience is a plus to ensure hands-on knowledge and practical application in managing construction projects. Proven knowledge in managing project budgets, including developing financial plans, tracking expenses, maintaining project schedule, and controlling costs.
- Education: High school diploma or equivalent. Additional technical training or certifications in construction management, project management, and any related field work is a plus.
- Training: CPR / First Aid and OSHA 10 Hour.
- Mathematical Skills: Strong math skills for accurate measurements, cost estimations, and budget management.
- Computer Literacy: Proficient in using construction management software, Microsoft Office Suite, and other relevant computer applications.
- Management Skills: Demonstrated ability to manage multiple tasks and projects in a fast-paced environment, including scheduling, budgeting, and quality control.
- Construction Knowledge: Exceptional understanding of construction materials, equipment, blueprint reading, and industry processes. Skilled in interpreting plans accurately and ensuring proper selection and use of materials and equipment to optimize project efficiency, safety, and quality.
